🚀 Set up your business
When you first open BiziTrack, create an account and tell us about your business. This takes a couple of minutes and shapes everything else — your receipts, your currency, and your reports.
- Open the app at app.bizitrack.app and choose Sign Up.
- Enter your business name, your email, a phone number and a password.
- If someone gave you a promo or referral code, type it in the code field.
- Once you're in, open Settings and set your currency, add your logo, phone and location, and a receipt footer message.
Tip: Set your currency before you start entering prices. BiziTrack supports UGX, KES, TZS, RWF, CDF, ETB, SSP, SDG, SOS, USD and more — and it uses your choice for tax and receipts automatically.
🛒 Make a sale (POS)
The POS screen is where you ring up sales. Tap products to add them to the cart, choose how the customer is paying, and complete the sale.
- Go to POS and tap each product the customer is buying. Adjust quantities in the cart.
- Choose the payment method: Cash, MTN MoMo, Airtel or Card/Bank.
- Optionally add the customer's name and a transaction ID.
- Tap Complete Sale. Your stock updates automatically.
- Share the receipt by WhatsApp, save a PDF, or print to an 80mm thermal printer.
Selling partly on credit
If a customer pays only part now and takes the rest on credit, enter the credit amount at checkout. BiziTrack records the paid portion as money received and adds the balance to your Credit Book so you don't lose track of who owes you.
Refunds & returns: Open Sale History, find the sale, and use Return to send items back to stock and record the refund.
📦 Products & stock
Add every product you sell so the POS, stock counts and reports stay accurate.
- Go to Stock and tap + Add.
- Enter the name, category, buying cost, selling price and quantity in stock.
- Set a low-stock level so BiziTrack warns you before you run out.
Restocking
When new stock arrives, open the product and use Restock to add the quantity and update the cost. For quick top-ups — five cartons of soda — this is all you need. For bigger, controlled buying with approvals, use Procurement.
Perpetual inventory: BiziTrack counts the cost of an item against your profit at the moment you sell it, not when you buy it. That keeps your profit figures honest and your Accountant Pack correct.
🧾 Procurement Business & Enterprise
Procurement is for businesses where staff spend on the company's behalf and someone needs to approve it. It runs a controlled buying process end to end.
- Requisition: a staff member requests an item, quantity and estimated cost — or tap Reorder low stock to request everything at or below its minimum in one go.
- Approval: the owner, a director or an admin approves or rejects it. Nobody approves their own request, and admins approve only up to the limit the owner sets.
- Purchase Order: an approved request becomes a PO, with payment terms (for example, credit for 30 days). A PO raised without an approved request waits for approval. Send it to the supplier on WhatsApp or print it as PDF.
- Receive goods: enter what actually arrived and the delivery note — stock updates automatically, and partial deliveries are supported. Close a PO short if the rest will never come, or cancel it before anything arrives.
- Three-way match & bill: the app checks the PO, what was received and the supplier's invoice, and flags any difference. A bill that doesn't match needs an approver. You can bill each delivery separately.
- Payables: every unpaid supplier bill with its due date and how late it is. Pay in full or in part by cash, mobile money or bank, with the transaction reference.
- Reports: what's ordered but not delivered, delivered but not billed, owed to suppliers, and this month's buying by supplier and item.
Everything flows into your stock, suppliers, credit book and accounting journal — no separate system to reconcile.
💰 Money in & out
The Money screen tracks your cash, mobile money and bank balances.
Recording money coming in
Tap + In and choose what the money is for: a debt repayment (from the Credit Book), a customer deposit, or general money coming in like capital or a refund. Each one is routed to the right place automatically.
Recording money going out
Use − Out for expenses and payments, and Transfer to move money between cash, mobile money and bank.
Confirm before you record: For MoMo, Airtel or bank, BiziTrack asks you to confirm the money actually arrived before it writes anything to your books. If a payment fails or the customer never pays, tap Cancel — Not Received and nothing is recorded.
📕 Credit book
The Credit Book tracks money owed — both what customers owe you and what you owe suppliers.
- Owes you: customers who took goods on credit. Tap + Pay when they pay, in full or part.
- You owe: suppliers you'll pay later.
- Bad debt: if a debt can't be recovered, mark it as bad debt — it's recorded correctly in your accounts rather than just deleted.
When someone repays, the money lands in your balances and their outstanding amount drops automatically.
🤝 Deposits
A deposit is an advance payment for an item the customer collects once it's fully paid — without pulling it out of stock early.
- Record the deposit under + In → Customer deposit, or from the Deposits page. Pick the item and enter the amount paid.
- The item stays in stock; the balance is tracked until it reaches zero.
- Each time the customer pays more, tap + Pay.
- When fully paid, tap Collect. BiziTrack creates a proper receipted sale, removes the item from stock, and stores the receipt number for any future returns.
Why it's done this way: the money is counted as it comes in, but the sale is only recorded when the customer actually takes the goods — which keeps both your stock and your revenue accurate.
📱 Mobile money payments
Customers pay you by MTN MoMo, Airtel Money or bank, straight to your own number or account.
- At checkout, or when recording a credit or deposit payment, choose MoMo, Airtel or Bank.
- BiziTrack shows the amount to collect. Ask the customer to send it.
- Tap Payment Received only once the money reflects on your side — nothing is written to your books before that.
📊 Reports & accounting Pro & up
BiziTrack turns your daily activity into real accounting you (or your accountant) can trust.
- Daily & period summaries of sales, profit and expenses on your dashboard.
- Accountant Pack — a printable document with a double-entry General Journal, a Trial Balance that proves the books balance, and an Income Statement (Profit & Loss).
- Exports — a General Journal and Trial Balance as CSV that import into QuickBooks, Tally or a spreadsheet, plus raw sales, expenses and stock exports.
Find these under Targets & Finance → Accounting & Export. Live sync to Zoho Books, QuickBooks, Sage and Xero is planned for Enterprise.
🏬 Your online shop
Every business gets a shareable online shop that shows your live stock. Customers browse it and order over WhatsApp — no app needed on their side.
- Open Shop from the top bar.
- Tap Share my shop link to send it via WhatsApp, Facebook or SMS, or copy it.
- Customers open the link, browse what's in stock, build a cart and send you their order on WhatsApp.
Keep it current: the shop shows products that have synced to the cloud, so make sure you're online after adding new items. Prices and stock update automatically.
📡 Working offline
BiziTrack keeps working with no internet. Keep selling, adding stock and recording money — it's all saved on your device.
When your connection comes back, everything you did offline syncs automatically. A badge at the top shows when you're offline and how many changes are waiting to sync.
Install it: add BiziTrack to your home screen (your browser's “Install app” or “Add to Home screen”) so it opens instantly and works offline like a normal app.
Using two devices on one account? If the same record is edited on both while offline, the last one to sync wins. For separate cashiers on separate sales, everything merges cleanly.
